A professional quote includes: your business name and contact details, the client's details, a unique quote number, the date and validity period, itemized products or services with quantities and unit prices, subtotal, taxes, total, and your terms and conditions.

Generally, once a client accepts a quote, it forms the basis of a contract and the price is binding for the validity period stated. This differs from an estimate, which is a non-binding approximation. Rules vary by jurisdiction.

Use Excel or Google Sheets if you want automatic calculations, Word or Google Docs for the cleanest layout control, and always send the final quote to your client as a PDF so it cannot be edited.

30 days is the most common validity period. If your material costs change quickly (construction, roofing), 7–14 days is safer.
