- Cover — logo, license and insurance line, client and property address, date, proposal number, “Roof replacement proposal.”
- Inspection findings — what you saw on the roof in plain words with three to six photos: granule loss, lifted shingles, cracked pipe boots, soft decking, failing flashing. This page is why the client trusts the price.

- Terms and acceptance — timeline and weather clause, decking rule, property protection, change orders, and a signature block for both parties.
How to write a roofing proposal that wins
- Photos on page two. The homeowner has not been on the roof; you have. Show them.
- Scope by layer, not by brand alone. “Synthetic underlayment, ice-and-water at eaves and valleys, new drip edge” tells the client what the cheaper bid probably left out.
- Name the product. Brand, line, warranty. Vague “30-year shingles” lose to specified ones.
- State the decking rule. Sheets included, per-sheet price beyond, photo confirmation.
- Offer tiers and add-ons as options, not as a second proposal. Impact-resistant shingles, ventilation upgrades, gutters and skylights raise the ticket without inflating the headline number.
- Write both warranties in plain words and say whether the workmanship warranty transfers on sale.
- Give a timeline with a weather clause and end with the acceptance block.

Common roofing proposal mistakes
- No findings page. Without photos, the proposal is a price with no reason.
- Unspecified materials. The client compares apples to unknown fruit.
- No decking rule. Every replaced sheet becomes an argument.
- Warranty as a slogan. “Lifetime warranty” without terms is worthless to a buyer and dangerous to you.
- Add-ons buried in the base price. Gutters inside the total make you look expensive; as an option they look thoughtful.
- No weather clause. Rain delays then look like your fault.
