Follow up on a quote 2–3 days after sending it, again about a week later, and one final time just before the quote expires. Most jobs aren’t lost to a competitor’s lower price — they’re lost to silence. A short, helpful follow-up is often the difference between “we went with someone else” and a signed job.

The 3-touch sequence

Touch 1 — Day 2 or 3: the check-in.

“Hi [Name], just making sure the quote for [job] came through okay. Happy to walk through any line item or adjust the scope if something doesn’t fit. — [You]”

Short, zero pressure, and it surfaces objections early (“actually, the materials line seemed high…”).

Touch 2 — Day 7–10: add value, don’t repeat.

“Hi [Name], while this is still open — if we schedule by [date], I can hold the current material pricing. One thing I’d flag: [small useful detail about their job]. Any questions on the quote?”

The middle touch should give a reason to decide: scheduling availability, price protection or a useful observation about their project.

Touch 3 — 2–3 days before expiry: the deadline.

“Hi [Name], the quote for [job] is valid through [date]. After that I’ll need to re-price materials. Want me to hold your spot on the schedule?”

Rules that keep it professional

  • One channel at a time. Email first; call only if two emails go unanswered.
  • Never apologize for following up. “Sorry to bother you” undercuts the value of your work.
  • Stop after three touches. Send a graceful close (“I’ll assume the timing isn’t right — the door’s open if that changes”) and move on. It converts surprisingly often.
