Quote Acceptance: How to Accept a Quote (Templates and Emails)
By QuotApp Team · Published October 16, 2026 · Updated October 16, 2026
Quote acceptance is the client’s clear, written agreement to your quote as offered, usually by signing it, replying “accepted” by email, clicking an online acceptance, issuing a purchase order or paying the deposit. Once a quote is accepted within its validity period, it can form a binding agreement for that scope and price. How you set up acceptance decides how easy it is to prove later.
How a client can accept a quote
| Method | How it works | Strength of proof | Best for |
|---|---|---|---|
| Signature on the quote | Client signs and dates the acceptance block, on paper or via e-signature | Strong | Home improvement, larger jobs |
| Email reply | Client replies “We accept quote Q-2026-052” | Good, if it names the quote | Repeat clients, smaller jobs |
| Online acceptance | Client clicks “Accept” on a quote link that records name, date and time | Strong | Any business sending digital quotes |
| Purchase order | Client’s purchasing department issues a PO referencing your quote | Strong, but check the PO terms | B2B and commercial clients |
| Deposit payment | Client pays the deposit stated in the quote | Moderate; pair with written confirmation | Residential service work |
| Verbal “go ahead” | Client says yes in person or by phone | Weak | Never rely on it alone |
If a client says yes verbally, send a short email the same day: “Thanks for confirming you’d like to go ahead with quote Q-2026-052 for $4,850. Please reply to confirm or sign the attached copy.” That turns a weak acceptance into a documented one.
Watch the purchase order. Business clients often accept by sending a PO with their own standard terms on the back, which may differ from yours on payment timing, warranties or liability. Read it. If the terms conflict, reply in writing before starting work.
What acceptance means, in general terms
The basic contract idea is simple: your quote is an offer, and the client’s acceptance of that offer, while it is still open, can create a contract. A few general principles shape how that works:
- Acceptance must match the offer. If the client replies “we accept, but at $4,500” or “we accept if you include the garage,” that is generally treated as a counteroffer, not an acceptance. Your original quote is no longer simply accepted; you now decide whether to agree to their version.
- Offers can expire. A quote that says “valid for 30 days” generally cannot be accepted on day 45 without your agreement. If a client comes back late, re-check your costs and either reissue the quote with a new date or confirm in writing that you will honor it.
- You can usually withdraw before acceptance. Until the client accepts, you can generally revise or withdraw the quote, unless you promised to hold it open.
- The terms on the quote become the terms of the deal. Deposit, payment schedule, exclusions and how changes are handled should be written on the quote so they are part of what the client accepts.
Rules differ by state and by type of transaction, including sales of goods and consumer home improvement contracts, so check local requirements or ask a lawyer for anything high-value or unusual. Electronic acceptance is generally valid: the federal ESIGN Act of 2000 gives electronic signatures and records legal effect for most commercial transactions.
Quote acceptance form template
Put a block like this at the bottom of every quote. It doubles as a short quote acceptance letter when sent as a separate page.
QUOTE ACCEPTANCE
Quote no.: [Q-####] Quote date: [MM/DD/YYYY]
Valid until: [MM/DD/YYYY]
Quoted total: $[amount] (including tax: $[amount])
I accept this quote, including the scope, price, exclusions and
terms described above, and authorize [Business name] to proceed.
Deposit due on acceptance: $[amount] ([%] of total)
Preferred start date: [MM/DD/YYYY]

Accepted items (if partial acceptance):
[ ] All items [ ] Only items: [list line numbers]

A good quote template already has this block, and the free quote maker adds a signature line to every quote. If you are still building the document itself, see quotation format.
Sample quote acceptance email from the client
Clients often ask how to accept a quote politely and clearly. Give them a model, or include this wording in your quote email so they can just reply.
Subject: Acceptance of Quote Q-2026-052, Kitchen Cabinet Painting
Hi Dana,
Thank you for the quote dated October 6, 2026. We accept Quote Q-2026-052 for $4,850.00 as written, including the 30% deposit of $1,455.00.
We’d like to start the week of October 26 if that works. I’ll send the deposit by bank transfer once you confirm the dates. Please let me know if you need anything else from us.
Best regards, Michael Reyes 214 Linden Ave, Austin, TX
It names the quote number, date and amount, confirms acceptance “as written,” and does not add new conditions. That is everything acceptance needs.

What to do after a quote is accepted
- Record the acceptance. Save the signed quote, email or online acceptance record in the job file with the quote itself.
- Invoice the deposit. Issue a deposit invoice referencing the quote number. Quote vs invoice shows how to carry the line items through.
- Confirm the schedule in writing, including start date, expected duration and access arrangements.
- Collect the PO if the client’s company requires one, and put its number on every invoice.
- Sign a contract if the job needs one. For larger jobs, or where your state requires a written home improvement contract with specific content, the accepted quote may be attached to a fuller agreement.
- Order materials and book subcontractors once the deposit clears.
- Set up the change process. Any change after acceptance goes through a change order.
Partial acceptance and revised quotes
Clients frequently want some of what you quoted. A homeowner might accept the interior painting but not the exterior, or a business might approve phase one only.
- If the quote lists optional items, the client can tick the ones they want on the acceptance form. This is the cleanest approach; price add-ons as separate optional lines from the start.
- If they want to remove items you priced together, do not just cross lines off. Removing scope can change your setup costs, minimums and per-unit pricing. Issue a revised quote as a new version, such as Q-2026-052-R1, with its own date and validity period, and have them accept that version.
- If they ask for a lower price, offer to remove scope rather than cut your margin. That keeps the number honest and the job profitable.
- Mark superseded versions as “replaced by R1” in your records so nobody accepts an old version by mistake.
If a client has gone quiet before accepting, a structured follow-up helps; see how to follow up on a quote.
FAQ
Is an email acceptance of a quote binding?
An email that clearly accepts a specific quote, within its validity period and without adding new conditions, can generally form a binding agreement. Make sure it names the quote number and amount.
What happens if a client accepts a quote after it expires?
The expired quote is generally no longer open for acceptance. You can honor it, or issue an updated quote with current pricing and a new validity date.
Is paying the deposit the same as accepting the quote?
Paying the deposit stated on the quote is strong evidence of acceptance, but pair it with a signature or written confirmation so the scope and terms are documented too.
What is a quote acceptance letter?
It is a short written statement from the client confirming they accept a specific quote, its price and terms. The acceptance block at the bottom of a quote serves the same purpose.
